Who we are
Collabo Ventures Ltd is the data controller for personal data collected through withneara.com and in connection with our companion visit services. We comply fully with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
What data we collect and why

Special category data
We may collect health information about the person receiving visits. We collect this only where you voluntarily provide it and only to the extent necessary to deliver a safe visit. Our legal basis is explicit consent. This data is accessible only to the assigned companion and relevant Neara staff and is never shared for commercial purposes.

Send post-visit updates to families
Process payments and issue invoices
Respond to enquiries and complaints
Improve our service through anonymised usage analysis
Meet our legal and safeguarding obligations
We do not use your data for automated decision-making, profiling, or advertising. We do not sell your data.
Who we share data with
Assigned companions - receive a visit brief with relevant client information. Contractually required to keep this confidential.
Stripe - payment processing under their own privacy policy.
Airtable - booking and visit records, held on EEA servers.
Email service provider - for sending updates and service communications.
Statutory authorities - where required by a safeguarding concern.
We do not transfer personal data outside the UK or EEA without appropriate safeguards.
How long we keep data
Active client records: duration of service plus 3 years
Payment records: 7 years (HMRC requirement)
Post-visit updates: 2 years from date of visit
Enquiry data (no booking made): 12 months from last contact
Your rights
Under UK GDPR you have the right to access, correct, delete, restrict, or port your data, and to object to processing based on legitimate interests. To exercise any right, email support@withneara.com. We will respond within 30 days at no charge.
If you are unhappy with how we handle your data, you may complain to the Information Commissioner's Office at ico.org.uk.
Cookies
We use strictly necessary cookies (required for the site to function) and privacy-friendly analytics cookies (no cross-site tracking, no personal data). You can opt out via our cookie banner. We do not use advertising or third-party tracking cookies.
Changes to this policy
We will notify existing customers of material changes with at least 14 days' notice by email. The current version is always at withneara.com/privacy-policy.
